## Position Overview
* Job Title: Accounting, Administration & Finance Assistant

## Key Duties and Responsibilities
The selected candidate will handle a diverse portfolio encompassing financial management, administrative oversight, and logistical coordination. The core responsibilities are categorized into four primary pillars:
1. Programme Implementation Support
* Assist the Indonesian National Board for Disaster Management (BNPB) in preparing essential financial and administrative paperwork in strict compliance with Swiss Agency for Development and Cooperation (SDC) standards (including Terms of Reference, procurement requests, contracts, and invoices).
* Review and verify administrative and financial paperwork generated by BNPB and the Direct Action team, ensuring adherence to procurement guidelines, signatory limits, and local regulatory standards (Standar Biaya Masukan / SBM).
* Coordinate closely with the embassy’s internal finance staff to track payment approvals and draft contracts utilizing the specialized ESPRIT software tool.
* Assist the Direct Action team in reconciling cash advances and settling outstanding payments immediately following project activities.
2. Accounting and Financial Reporting
* Daily Accounting: Oversee payment request quality control, process bank disbursements, execute primary payment approvals semi-weekly, input data into accounting software (Vision +), and maintain organized physical and digital archives.
* Monthly Reporting: Gather SAP extracts and supporting financial records, audit booking vouchers and transaction amounts, and compile comprehensive monthly accounting packages for management review.
* Cash Flow & Budgeting: Update quarterly cash flow forecasts based on evolving work plans under the guidance of the Programme Manager. Maintain live tracking sheets for ongoing expenses, active contracts, and specific Direct Action budget allocations.
* General Support: Provide occasional backup bookkeeping assistance to the main embassy bookkeeper during slower operational periods.
3. Administration, Quality Control, and Logistics
* Manage all official correspondence and document archiving for the Direct Action initiative.
* Conduct thorough quality control and formatting reviews for documents produced by internal officers and external partners, such as concept notes, activity reports, meeting minutes, and social media content.
* Coordinate logistics for field operations (including flights and lodging), Project Steering Committee (PSC) meetings, and specialized program gatherings.
4. Communication and Social Events
* Provide translation support between Indonesian and English as needed.
* Assist in organizing special events, managing communications outputs (newsletters and social media posts), and facilitating official visits by Swiss government officials.
## Candidate Qualifications and Requirements
